Notion has become the operations hub for many teams because it combines documents, databases, and wikis in a single tool. The challenge isn’t the tool — it’s how you organize it.
Recommended structure
- Company wiki: mission, values, processes, and policies.
- Projects database: each project with its status, owners, and dates.
- Clients/CRM database: relationships, notes, and next steps.
- Knowledge base: documents and decisions, linked to each other.
Keys to making it work
- Define templates so every new page follows the same structure.
- Use relations between databases (a client ↔ their projects ↔ their documents).
- Keep an owner for each space so it doesn’t get messy.
- Document the “why”, not just the “what”.
When to use something else
Notion is great for knowledge and collaboration, but it’s not ideal for highly structured tasks, large volumes of transactional data, or processes that need advanced automation. There, the best move is to integrate it with other tools via API.
Notion doesn’t fix chaos on its own; a good structure does.
